Privacy Policy

Last updated: September 29, 2026

The Member List provides online tools for chambers of commerce and similar organizations to manage member information, communicate with members, operate public directories and websites, and support their day-to-day work. This Privacy Policy explains how The Member List collects, uses, discloses, and protects personal information.

This Policy applies to thememberlist.com, The Member List platform, chamber websites powered by The Member List, and related services that link to this Policy. It does not apply to independent websites or services operated by third parties.

  • Chamber and member records: Business names, contact names, email addresses, telephone numbers, addresses, membership details, business descriptions, categories, and other information entered by a chamber or its authorized users.

  • Subscription information: Plan, billing cycle, purchase status, and related transaction details. Subscription checkout is hosted by Stripe. The Member List does not directly store full payment-card numbers.

Information Collected Automatically

When you use our services, we and the service providers that support them may automatically collect technical and activity information, such as Internet Protocol addresses; browser, device, and operating-system information; pages visited, links used, access times, and referring pages; login events, failed login attempts, and security records; cookie and similar technology information; and diagnostic and service-performance information.

Sources of Information

We collect information directly from individuals, from chamber organizations and their authorized users, automatically from devices and browsers, and from service providers involved in hosting, email delivery, payments, security, and platform operations.

2. How We Use Information

We use personal information to:

  • Create, authenticate, maintain, and secure accounts;
  • Provide chamber management, member directory, communication, task, opportunity, financial, reporting, API, website, and AI-assisted features;
  • Display information that a chamber chooses to publish in a public directory or chamber website;
  • Process subscriptions and maintain billing records;
  • Deliver chamber emails and other requested communications;
  • Respond to contact forms, questions, and support requests;
  • Monitor service performance, prevent abuse, troubleshoot problems, and protect accounts;
  • Improve and maintain the platform and its features;
  • Enforce our agreements and protect the rights, safety, and integrity of The Member List, our customers, and others; and
  • Comply with applicable legal obligations.

3. Chamber Organizations and Member Data

Chamber organizations control the member and business information they submit to The Member List. For that information, the chamber generally decides what is collected, why it is used, who may access it, and whether it appears in a public directory or chamber website. The Member List processes that information to provide services to the chamber.

If your information appears in a chamber’s records or public directory, the chamber may be the appropriate organization to contact first about access, correction, removal, or other requests. We may refer a request to the relevant chamber when it controls the record.

Each chamber account is designed to keep its submitted information separate from the information of other chamber customers. Authorized platform administrators may access customer information when needed to operate, secure, support, or maintain the service.

4. Public Directories and Chamber Websites

Information published in a public directory or public chamber website can be viewed by anyone. Search engines and other third parties may copy, index, cache, or redistribute public information. Removing information from The Member List may not remove copies already stored or published elsewhere.

Chambers and their authorized users should publish only information they are permitted to make public. Individuals and businesses should contact the chamber responsible for a listing if they want it reviewed, corrected, or removed.

5. How We Disclose Information

We may disclose information in the following circumstances:

  • At a chamber’s direction: For example, to publish a directory listing, operate a chamber website, deliver an email, or complete another action selected by an authorized user.
  • To service providers: Providers may support hosting, WordPress operations, email delivery, payment processing, security, technical support, and other necessary business operations. They may process information only as needed to perform services for us or as otherwise permitted by law.
  • To Stripe: Subscription checkout and payment processing are handled through Stripe-hosted services. Stripe processes payment information under its own privacy terms.
  • For legal and safety reasons: We may disclose information when reasonably necessary to comply with law, respond to lawful process, protect rights or safety, investigate misuse, or secure the platform.
  • As part of a business transaction: Information may be transferred in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of some or all of the business, subject to applicable law.
  • With consent: We may disclose information when the person or organization responsible for it directs or authorizes us to do so.

The Member List does not sell personal information. We do not share personal information for cross-context behavioral advertising.

6. Cookies, Browser Controls, Do Not Track, and Global Privacy Control

The Member List and its service providers may use cookies and similar technologies that are necessary to keep users signed in, remember settings, protect accounts, maintain security, and support site and platform operations.

You can use your browser settings to block or delete cookies. Some essential features may not function correctly if necessary cookies are disabled.

Some browsers offer a “Do Not Track” setting. Because there is no uniform standard for responding to Do Not Track signals, our services do not currently respond to them in a standardized way.

Where applicable law requires recognition of a Global Privacy Control or similar legally recognized opt-out signal, we treat it as a request to opt out of sale or sharing for cross-context behavioral advertising. Because The Member List does not engage in those practices, such a signal does not change how we currently use personal information.

7. Data Retention

We retain personal information for as long as reasonably necessary to provide the services, maintain customer accounts, fulfill the purposes described in this Policy, meet legal or accounting obligations, resolve disputes, enforce agreements, and protect the platform. Retention depends on the nature of the information, why it was collected, the status of the customer relationship, and applicable requirements.

When information is no longer reasonably needed, we may delete it, de-identify it, or retain it in a limited form when required or permitted by law.

8. Security

We use reasonable administrative, technical, and organizational measures intended to protect personal information. These measures include account authentication, login protection, access controls, and service monitoring. No online service, transmission method, or storage system can be guaranteed to be completely secure.

Users are responsible for protecting their login credentials, using secure devices and connections, and notifying us if they believe an account has been accessed without authorization.

9. Your Choices and Requests

Depending on your relationship with The Member List and where you live, you may be able to access or update account information; ask us to provide access to, correct, or delete personal information; object to or request limits on certain processing; request a portable copy of certain information; withdraw consent where processing depends on consent; or appeal a decision about a privacy request where applicable law provides that right.

To make a request, contact us using the information below. We may need to verify your identity and authority before completing a request. Applicable law may allow or require us to deny or limit certain requests.

If a chamber submitted or controls the information, we may direct you to that chamber or work with it to address the request. Authorized agents may submit requests where permitted by law, subject to verification of their authority.

10. California Privacy Rights

If California privacy law applies to The Member List and the applicable legal thresholds are met, California residents may have rights to request information about the personal information collected, used, or disclosed; request access, correction, or deletion; receive certain information in a portable format; and receive equal service without unlawful discrimination for exercising privacy rights.

California law may also provide rights to opt out of the sale or sharing of personal information and to limit certain uses of sensitive personal information. The Member List does not sell personal information or share it for cross-context behavioral advertising. We do not use or disclose sensitive personal information for purposes that require a right to limit under California law based on the practices described in this Policy.

These rights are subject to definitions, exceptions, verification requirements, and legal thresholds. If a chamber controls the member record involved, the request may need to be handled by that chamber.

11. Privacy Rights in Other U.S. States

Residents of other U.S. states may have similar privacy rights when a state law applies and its legal thresholds are met. These may include rights to access, correct, delete, or obtain a copy of personal information; opt out of certain targeted advertising, sale, or profiling practices; and appeal a denied request.

The Member List does not sell personal information or share it for cross-context behavioral advertising. We will respond to verified requests as required by applicable law.

12. International Users

The Member List is operated from the United States. If you access the service from another country, your information may be processed and stored in the United States, where privacy laws may differ from those in your location. Where required, a chamber organization may be responsible for providing notices, obtaining permissions, or establishing an appropriate basis for submitting member information to the service.

13. Children’s Privacy

The Member List is intended for organizations, businesses, and adult users. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information through the service, please contact us so we can review and address it.

14. Third-Party Links and Services

The service may link to websites or services operated by chambers, members, Stripe, or other third parties. Their privacy practices are governed by their own policies. The Member List is not responsible for the privacy, security, or content of independent third-party services.

15. Changes to This Policy

We may update this Privacy Policy as our services or legal obligations change. We will post the revised Policy with a new “Last updated” date. If a change is material, we may provide additional notice where appropriate or required.

16. Contact Us
